Terms & Conditions

These Terms & Conditions apply to all hire services provided by Luke’s Party Barrels for Hire (“we”, “us”, “our”) to the client (“you”, “the client”).

By accepting a quote, making a payment, or proceeding with a booking, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.

1. Booking & Confirmation

1.1 A booking is only confirmed once a 20% deposit has been received.

1.2 Dates and hire items are not reserved until the deposit payment is made.

1.3 We reserve the right to decline or cancel any booking that has not been confirmed with a deposit.

2. Deposit & Payment Terms

2.1 A 20% non-refundable deposit is required at the time of booking to secure the event date.

2.2 The remaining balance must be paid in full no later than 14 days (2 weeks) prior to the event date.

2.3 If the final payment is not received by the due date, delivery and hire of the furniture is not guaranteed, and we reserve the right to cancel the booking.

2.4 All prices are subject to GST, unless otherwise stated.

3. Non-Refundable Deposit

3.1 The deposit is strictly non-refundable under any circumstances, including cancellation, postponement, change of mind, weather conditions, or unforeseen events.

3.2 The deposit covers administrative costs, preparation, and reservation of hire items.

4. Changes to Orders

4.1 Any changes to hire items or quantities must be requested as early as possible.

4.2 Once a quote is accepted, any reduction in furniture quantities is not guaranteed to result in a reduction of the total hire fee, as items are reserved specifically for your event.

4.3 All changes are subject to availability and approval.

5. Damage, Loss & Responsibility

5.1 All hire items remain the property of Luke’s Party Barrels for Hire at all times.

5.2 The client is fully responsible for the hired items from the time of delivery until collection.

5.3 Any loss, damage, breakage, or excessive cleaning required will result in repair or replacement charges.

5.4 Where a bond is held, it may be partially or fully retained to cover damages.

5.5 Damage caused by guests, venue staff, weather, or misuse remains the responsibility of the client.

6. Delivery, Pickup, Setup & Venue Logistics

Delivery, Pickup & Minimum Hire

6.1 Delivery and pickup surcharges are calculated based on the distance from our warehouse to the event location, travel time, and the duration for which our truck and driver are required.

6.2 A fuel surcharge will apply to all bookings based on travel distance and fuel prices at the time of the event; this will be charged separately from the delivery and pickup fee as a variable fuel levy. This applies regardless of when the quote is accepted, and the applicable fuel levy will be confirmed and charged prior to delivery.

6.3 A minimum hire amount may apply depending on the distance to the event location, as delivery and collection require allocation of a vehicle and driver for the hire period.

6.4 All delivery, pickup, and any applicable minimum hire charges will be clearly outlined in your quote. Acceptance of the quote confirms your agreement to these charges.

Setup & Pack-Down

6.4 Delivery and pickup fees do not include setup or pack-down services.

If setup and/or pack-down is required, this must be arranged prior to the event date.

6.5 Setup and pack-down services may incur an additional surcharge, depending on:

Quantity of furniture hired

Type and weight of furniture

Complexity of setup

Venue access conditions and time restrictions

6.6 Requests for setup made close to the event date are subject to availability and may incur additional charges.

Access, Stairs & Distance Limitations

6.7 Due to the weight and size of our furniture, we do not provide setup involving stairs. This includes stairs at venues, private properties, parks, or public spaces.

6.8 If the event location involves:

Long-distance carrying from the delivery point

Stairs, ramps, lifts, or uneven surfaces

Restricted or limited access

these details must be disclosed prior to booking confirmation.

6.9 Failure to notify us of access limitations may result in:

An additional surcharge, subject to staff availability, or

Refusal of setup services on the day for safety reason

Venue, Park & Logistics Requirements

6.10 For all venue or public park deliveries, the client must provide full logistical details at least 7 days prior to the event date, including:

  • Venue access instructions
  • Bump-in and bump-out times
  • Delivery and pickup restrictions
  • Required permits or approvals

6.11 The client must advise us of designated parking or loading bay availability, including any height, time, or access restrictions affecting delivery vehicles.

6.12 If required logistical information is not provided at least 7 days prior to the event, we reserve the right to cancel the booking without refund due to insufficient planning time.

6.13 Delays or issues caused by unavailable parking, restricted access, or incomplete information may result in additional charges or inability to complete delivery or setup.

7. DIY Hire Option

7.1 DIY hire options are subject to separate DIY Terms & Conditions, which will be provided at the time of booking.

7.2 By selecting the DIY option, the client agrees to comply with all additional requirements outlined in the DIY hire agreement.

8. Cancellation by Client

8.1 If the client cancels the booking for any reason:

  • The deposit remains non-refundable
  • Additional payments may be retained to cover costs incurred

8.2 Cancellations made within 14 days of the event date may result in forfeiture of all payments made.

9. Cancellation by Us

9.1 In the unlikely event that we are unable to fulfil the booking due to unforeseen circumstances, we will:

  • Provide a full refund of payments made, including the deposit, or
  • Offer an alternative date or solution, subject to agreement.

10. Force Majeure

10.1 We are not liable for failure to perform due to events beyond our control, including extreme weather, natural disasters, government restrictions, or emergencies.

10.2 In such cases, the deposit remains non-refundable.

11. Liability

11.1 To the extent permitted by law, Luke’s Party Barrels for Hire is not liable for indirect or consequential loss.

11.2 Our total liability is limited to the total hire fee paid.

12. Governing Law

12.1 These Terms & Conditions are governed by the laws of Western Australia, and any disputes shall be subject to the jurisdiction of Western Australian courts.

13. Acceptance

By accepting a quote and/or making a payment, the client confirms acceptance of these Terms & Conditions in full.
